Modern Operators · Remote · US Central Time · Full-time · Reports to Damon, Co-Founder
The Role in One Paragraph
We're hiring a Head of Fulfillment to own the backend execution of our CompanyOS implementation program. You'll take the information, requirements, and decisions coming out of client discovery and turn them into a fully built, documented, tested, and usable operating system. You'll work closely with the Client Engagement Manager and occasionally directly with clients to understand their business, validate requirements, review systems, and make sure what we're building actually works. You'll own the implementation process, build standards, QA, documentation, and fulfillment playbook—and over time, you'll build and lead the team that delivers CompanyOS at scale.
This is a builder's role. You're not here to simply manage tasks. You're here to figure out how the system should work, build it, improve it, document it, and eventually build a team that can do the same.
Who We Are
Modern Operators is the operations partner for founder-led businesses. Founders come to us bottlenecked. Their business runs on tribal knowledge, the owner is the glue holding it together, and growth has stalled because everything routes through one person.
We install a Company Operating System. Built on Notion, layered with custom AI agents. Processes, standards, roles, dashboards, and the knowledge a team and an AI need to actually execute. We help founders stabilize, optimize, and scale their operations.
We're not theorists. We've built and sold companies, and we run our own business on the exact system we install for clients.
How We Operate
These are the values we hire and fire against.
Clarity over complexity. Every system, process, and message should make things simpler. If it adds confusion, it's wrong.
Founder empathy. We build what founders actually need. No fluff. No theory.
Leverage through systems. Automate the repeatable. Document the critical. Empower the team.
Adaptability. The tools and the market change constantly. So do we.
Results, not rituals. We care about outcomes, not process for process's sake.
Transparency. Radical visibility, internally and with clients.
We're remote and asynchronous internally. That means we hire people who move without being chased. Do the work, communicate clearly, exceed the standard.
What You'll Own
Own the backend implementation.
Take the signed Build Plan, discovery findings, and client requirements and turn them into a functioning CompanyOS. You'll own the actual production of the system—not just the project plan around it.
Design the CompanyOS.
Translate how a client's business operates into the architecture of their system: roles, SOPs, databases, dashboards, workflows, permissions, knowledge bases, and AI-enabled processes.
Understand how the business actually works.
You won't blindly build from a checklist. You'll dig into the client's existing processes, identify gaps and dependencies, challenge assumptions, and determine what the system actually needs to support.
Participate in client calls when the work requires it.
This is primarily a backend role, but you will not be completely behind the scenes. You'll join or lead discovery, systems-design, requirements, and implementation calls when your expertise is needed. You'll ask detailed questions, explain system decisions, validate requirements, and make sure what we're building matches reality.
Own the build process.
Create and maintain the process for moving an implementation from discovery to a fully functioning system. Track what's being built, what's blocked, what's ready for review, and what's ready for handoff.
Own QA.
Nothing goes to a client without meeting our quality standard. You'll build and run QA checklists covering system architecture, documentation, permissions, workflows, data, usability, and completeness.
Build the fulfillment playbook.
Document how we do the work. Create the SOPs, templates, checklists, frameworks, standards, and reusable components that make each implementation easier than the last.
Drive standardization.
Identify what's being rebuilt from scratch across clients and turn it into reusable frameworks, templates, modules, and systems wherever appropriate.
Use AI aggressively.
AI should be part of your daily workflow. Use Claude, ChatGPT, and other AI tools to accelerate research, process mapping, documentation, system design, QA, data organization, and repetitive implementation work.
The expectation isn't simply that you use AI. It's that you continually ask:
"How can we accomplish this faster, better, and with less manual work?"
Improve the fulfillment engine.
Look across implementations for recurring problems, bottlenecks, gaps, and opportunities. Feed those insights back into the methodology and continuously improve how we deliver CompanyOS.
Build and lead the fulfillment team.
Over the next 6–12 months, you'll help hire, train, manage, and develop the fulfillment team. You'll establish roles, standards, training, QA, delegation, and performance expectations so fulfillment can scale beyond you.
What Success Looks Like
First 30 days
You understand our CompanyOS methodology and implementation model.
You've shadowed active implementations and client calls.
You understand our build standards, tools, documentation requirements, and QA process.
You've started contributing to active CompanyOS builds.
You can take a defined implementation task from requirements through completion without hand-holding.
First 60 days
You're independently owning significant portions of CompanyOS implementations.
You're participating confidently in client discovery and implementation calls when needed.
Your builds consistently meet our quality standards.
You've identified opportunities to improve our templates, SOPs, or fulfillment process.
You're beginning to turn repeated work into reusable systems.
First 90 days
You can independently drive a CompanyOS implementation from discovery requirements through build and QA.
The Client Engagement Manager can confidently hand you a signed Build Plan and trust you to execute it.
Client calls are focused and productive because you know how to extract the information needed to build.
Our fulfillment process is more documented and repeatable than when you started.
You're actively identifying where AI, automation, and standardization can increase our fulfillment capacity.
You're beginning to establish the foundation for the fulfillment team we'll build over the next 6–12 months.
What You Bring
5+ years of professional experience. We're open to candidates from any industry. What matters is the complexity of the work you've owned and your ability to build systems.
Strong systems thinking. You naturally break complicated problems into processes, structures, dependencies, and repeatable workflows.
Builder mentality. You don't just tell someone what should be done. You can actually build it.
Strong process design skills. You can take an undocumented, messy process and turn it into something clear and usable.
Notion power user. You can build sophisticated systems in Notion, or you're highly experienced with a comparable project/work management platform such as ClickUp, Monday.com, Asana, etc.
Strong AI capabilities. You're already using ChatGPT, Claude, or comparable AI tools extensively in your work and know how to incorporate AI into real workflows—not just use it for writing.
Highly organized. You can manage multiple implementations, requirements, deadlines, and moving parts without losing details.
Excellent documentation skills. You understand that if something isn't documented, the organization doesn't truly own the knowledge.
Strong analytical skills. You can look at how a business operates and identify inefficiencies, gaps, and dependencies.
Strong communication. You can explain complicated systems to founders and employees without making them more complicated than they need to be.
Comfortable on client calls. You're not an account manager, but you're comfortable getting on a call, asking detailed questions, presenting your work, and pushing back when necessary.
High attention to detail. Small errors in permissions, workflows, databases, or documentation can create large problems downstream.
Self-directed. You don't need someone assigning you every next step.
Solution-oriented. You bring the problem, the options, and your recommendation—not just the problem.
Nice to have:
Experience designing or implementing business operating systems.
Operations or process-improvement background.
Experience working with founder-led or small businesses.
Experience with automation platforms such as Zapier, Make, or similar.
CRM experience with GoHighLevel, HubSpot, or similar.
Experience building AI-powered workflows or agents.
Experience managing or mentoring implementation/operations teams.
Consulting or agency experience.
Location and Hours
This is a remote role, but you will work primarily on US Central Time.
You should be comfortable maintaining significant overlap with the Central Time Zone for scheduled client calls, internal collaboration, and implementation work.
Who Thrives Here
You'll do well here if you genuinely enjoy building systems.
You're the person who sees a messy process and immediately starts thinking about how to structure it.
You like figuring out how things work. You document what you learn. You build reusable solutions instead of solving the same problem twice. You care about the details but don't lose sight of the bigger picture.
You're comfortable jumping between a client conversation, a Notion database, an SOP, an AI workflow, and a QA checklist in the same day.
Most importantly, you don't wait for someone to tell you what to improve.
You see the problem, figure out the solution, build it, document it, and make the system better.
Who Shouldn't Apply
Be honest with yourself here. It saves us both time.
You need detailed daily direction or someone checking your work constantly.
You prefer managing projects over actually building the systems behind them.
You dislike documentation.
You don't enjoy figuring out how businesses and processes work.
You want a purely client-facing account management role.
You want a completely heads-down technical role with no client interaction.
You aren't comfortable working with ambiguity.
You don't want to use AI as part of your daily workflow.
You build systems based on what a tool can do rather than what the business actually needs.
You prefer creating one-off solutions instead of building repeatable processes.
You don't enjoy improving systems after they're already "working."
Compensation
$70,000–$90,000 per year, depending on experience and demonstrated capabilities.
We start every hire with a contract/pilot period, then move to a full-time arrangement once both sides are confident in the fit.
